Terms & Conditions

These Terms & Conditions explain how Little Loop provides childcare introduction, booking, and recruitment services to parents and guardians, nurseries and schools, and other clients. They also set out responsibilities for childcare professionals who work with us. Please read them carefully before using our website or services.

1. About these Terms

These Terms & Conditions (“Terms”) are between you and AYVAN SHRI LTD, trading as Little Loop (“Little Loop”, “we”, “us”, “our”). By creating an account, submitting a booking request, engaging our services, or otherwise using our website, you agree to these Terms.

These Terms apply to customers who book or purchase services through Little Loop. Separate employment terms apply to childcare professionals who are engaged as employees or workers — see your employment contract where applicable.

We may update these Terms from time to time. The version and review date shown at the top of this page indicate which Terms apply. Continued use of our services after changes are published constitutes acceptance of the updated Terms, unless otherwise required by law.

2. Definitions

In these Terms, the following definitions apply:

  • Agency / Little Loop — AYVAN SHRI LTD trading as Little Loop.
  • Booking — a request for childcare or staffing submitted through our website or agreed with us in writing, until confirmed or rejected by Little Loop.
  • Confirmed booking — a booking that Little Loop has accepted and confirmed in writing or through your account.
  • Childcare Professional — an individual introduced, supplied, or engaged by Little Loop to provide childcare or related services.
  • Client — any customer using Little Loop services, including a Parent/Guardian Client, Organisation Client, or other client type described below.
  • Organisation Client — a nursery, school, event organiser, or other organisation booking staffing or childcare through Little Loop.
  • Parent/Guardian Client — an individual parent or guardian booking childcare for their family through Little Loop.
  • Services — the childcare introduction, temporary staffing, booking, and recruitment services described on our website and agreed with you.
  • Website — the Little Loop website and customer portals operated by us.

3. Our services

Little Loop connects families, nurseries and schools, and other clients with vetted childcare professionals. Depending on the service you select, we may provide babysitting, daytime or temporary nanny cover, emergency/same-day care, event childcare, nursery or school temporary staffing, or permanent nanny recruitment.

Service descriptions, applicable rates, minimum durations, and whether pricing is fixed, estimated, or subject to quotation are shown in our live service catalog when you book. Final pricing for confirmed bookings is set by Little Loop when your booking is created or confirmed.

Submitting a booking request does not guarantee availability or confirmation. A booking remains pending until Little Loop confirms it. We will assign or introduce a suitable Childcare Professional where applicable.

4. Who may use Little Loop

You must be at least 18 years old and have authority to enter into these Terms. Parents and guardians must have lawful authority to arrange care for the children named on a booking.

Organisation Clients must provide accurate organisation details and ensure the person submitting bookings is authorised to do so on the organisation’s behalf.

Childcare professionals may apply to join Little Loop through our recruitment pathways. Acceptance is subject to our vetting, interview, and compliance processes.

5. Client responsibilities

5.1 Parent/Guardian Clients

If you book as a parent or guardian, you agree to:

  • Provide accurate account, contact, child, schedule, and location information.
  • Ensure you have authority to arrange care for each child listed on a booking.
  • Share relevant care, safety, and access information (including allergies, special requirements, pets, and property access notes).
  • Provide a safe and suitable environment for care and cooperate with reasonable handover arrangements.
  • Respond promptly to confirmation requests and communicate changes or cancellations as early as possible.
  • Pay agreed fees by the method arranged with Little Loop after your booking is confirmed.

5.2 Nursery and School Clients

If you book on behalf of a nursery, school, or similar organisation, you agree to:

  • Provide accurate organisation and contact details and confirm you are authorised to book on its behalf.
  • Share accurate staffing requirements, schedules, setting information, and any minimum hours or ratio needs.
  • Cooperate with safeguarding, induction, and on-site requirements applicable to your setting.
  • Acknowledge that services priced on a quotation or “from” rate basis require agreed final pricing before assignment.
  • Pay agreed fees in accordance with the payment terms communicated to your organisation.

5.3 Other organisation clients

Other organisation clients (including event organisers) must provide accurate event or venue details, cooperate with safeguarding and access requirements, and pay agreed fees as arranged with Little Loop.

6. Childcare Professional responsibilities

Childcare professionals working with Little Loop must provide accurate application and profile information, comply with vetting and compliance requirements, maintain professional conduct, and follow safeguarding reporting obligations.

During assignments, Childcare Professionals must attend as agreed, follow reasonable care instructions, respect confidentiality, and cooperate with Little Loop and Clients.

Employment or engagement terms for Childcare Professionals employed by Little Loop are set out in separate employment documentation, not in these customer-facing Terms.

7. Bookings, assignments and cancellations

When you submit a booking through our website, it is received as a pending request. Little Loop will review availability and suitability before confirming. You may cancel a pending or confirmed booking through your account where this option is available, subject to any notice or cancellation terms communicated to you at confirmation.

Minimum booking durations and time requirements depend on the service selected and are shown during the booking process. If you need to change dates, times, or duration after confirmation, contact Little Loop as soon as possible.

Little Loop may decline or cancel a booking if a suitable Childcare Professional cannot be arranged, information provided is inaccurate, or circumstances make the booking unsuitable or unsafe.

8. Fees and payment

Fees depend on the service, duration, and pricing type shown in our booking system. Hourly services may display an estimated total before you submit a request; your confirmed booking price is set by Little Loop when the booking is recorded.

Some services are priced on a quotation or “from” rate basis. In those cases, final pricing is agreed before care or staffing is confirmed — the website does not guarantee a final total until Little Loop confirms it with you.

Payment is arranged offline unless we agree otherwise in writing. Little Loop records payment when received; you cannot mark a booking as paid through the website. Payment status and receipts appear in your account once recorded by our team.

If fees are overdue, we may suspend further services until payment is received, in line with any payment terms communicated to you.

9. Permanent recruitment

Permanent nanny recruitment is a separate service with a one-off fee payable on successful placement, as described in our service catalog and confirmed when you submit your request.

An introduction or placement fee may become payable when a candidate introduced by Little Loop accepts an offer of permanent employment (or equivalent arrangement) with you, in accordance with the terms agreed for that recruitment service.

10. Safeguarding and compliance

Little Loop takes safeguarding seriously. Clients must provide accurate information about children and settings, cooperate with reasonable safeguarding checks, and report concerns through appropriate channels.

Childcare Professionals must comply with safeguarding policies, report welfare concerns, and follow conduct standards required by Little Loop and applicable law.

Nothing in these Terms reduces statutory safeguarding obligations on any party.

11. Confidentiality

Each party must keep confidential any non-public information received about children, families, staff, settings, or business affairs, except where disclosure is required by law or necessary to deliver the Services safely.

12. Data protection

We process personal data in accordance with our Privacy Policy. That policy explains what data we collect, why we use it, how long we keep it, and your rights. Please read it alongside these Terms.

Where you provide information about children or staff, you confirm you have a lawful basis to share that information with Little Loop for the purpose of arranging services.

13. Liability

Nothing in these Terms excludes or limits liability that cannot be excluded or limited by applicable law.

Subject to the above, Little Loop’s liability arising from our services is limited to the extent permitted by law and in accordance with the terms agreed for your booking or service. Clients are responsible for providing accurate information and a safe environment for care.

You agree to indemnify Little Loop against reasonable losses arising from inaccurate information you provide or breach of these Terms by you, where permitted by law.

14. Insurance

Little Loop maintains appropriate insurance for its agency activities as required for its operations. Details are available on request. Clients and Childcare Professionals remain responsible for their own insurance obligations where applicable.

15. Non-solicitation and direct engagement

Clients must not engage a Childcare Professional introduced or supplied by Little Loop for assignments outside Little Loop during an active assignment and for a reasonable period afterwards, without our prior written agreement, except where permitted by law.

Permanent recruitment fees may apply where a candidate is engaged directly following an introduction by Little Loop, in accordance with the agreed recruitment terms.

16. Complaints

If you have a concern about our services, please contact us promptly. Our Complaints Policy explains how to raise a complaint and how we will respond.

17. General

  • Entire agreement — These Terms, together with booking confirmations and policies referenced here, form the agreement between you and Little Loop for website and agency services.
  • Severability — If any provision is unenforceable, the remainder continues in effect.
  • Assignment — We may assign our rights and obligations; you may not assign without our consent.
  • Force majeure — We are not liable for delay or failure caused by events outside our reasonable control.
  • Third parties — These Terms do not confer rights on any third party.

18. Governing law and jurisdiction

These Terms are governed by the laws of Scotland. The courts of Scotland have exclusive jurisdiction, subject to any mandatory consumer protections that apply to you.
